I aim to collect only information that is reasonably necessary for the relevant purpose.

I may use your personal information to:
Provide products and services
To process purchases, deliver digital products, arrange and provide coaching, manage appointments and provide the services you have requested.
Personalise and support your coaching
To understand what you would like support with, prepare for sessions, maintain appropriate coaching notes and provide continuity throughout our work together.

To respond to enquiries, send information relating to your purchase or appointment, provide coaching communications and offer customer support.
Manage my business
To maintain appropriate business, financial and transaction records, administer my services and comply with legal and regulatory obligations.

To understand how my website and services are being used, maintain their security and improve the customer experience.
Send marketing communications
Where you have chosen to join my email list, I may send newsletters, Love Letters, information about Living in Love, products, coaching services, events and other relevant communications.
You can unsubscribe from marketing communications at any time.
- Lawful Bases for Processing
Under UK data protection law, I need a lawful basis for using your personal information.
Depending on the circumstances, I may rely on:
Contract – where processing your information is necessary to provide a product or coaching service you have purchased or requested.
Consent – where you have actively chosen to receive marketing communications or where consent is otherwise appropriate. You can withdraw your consent at any time.
Legal obligation – where I need to retain or use information to comply with legal, accounting, tax or regulatory requirements.
Legitimate interests – where processing is reasonably necessary to operate, administer, protect or improve my business and those interests do not override your rights and interests.
Where I process special category personal data, I will also rely on an appropriate condition for processing that information under applicable data protection law.
- Email Marketing & Mailchimp
If you choose to join my email list, your name, email address and relevant subscription information may be stored and processed through Mailchimp, the email marketing platform I use to manage my mailing list and send communications.
I will only send you marketing communications where I have an appropriate lawful basis to do so.
Purchasing a product or booking coaching does not automatically subscribe you to my marketing list.
If, for example, you tick an optional box agreeing to join my email list when purchasing through Payhip, your relevant details may be added to Mailchimp for that purpose.
You can unsubscribe at any time by clicking the unsubscribe link included in my marketing emails or by contacting info@colindalatour.com.
Withdrawing from marketing does not prevent me from sending necessary transactional or service communications relating to something you have purchased or booked.
- Purchases Through Payhip
I use Payhip to sell digital products and coaching services.
When you purchase through Payhip, personal information required to process and administer your purchase may be collected and processed through Payhip. This may include information such as your name, email address, transaction information, purchase history and technical information associated with your transaction.
Payment information is handled through the payment methods and payment processors available at checkout. I do not receive or store your complete payment-card details simply because you make a Payhip purchase.
Payhip processes personal information in accordance with its own privacy arrangements.
Where you separately choose to join my email list during the purchasing process, relevant contact information may also be transferred to my email marketing provider for that purpose.
- Bookings Through Calendly
I use Calendly to manage appointments and coaching bookings.
When you make a booking, Calendly may process information such as your name, email address, appointment details and information you choose to provide when completing the booking form.
I use this information to arrange and manage your appointment, communicate with you about your booking and provide the service you have requested.
Calendly processes information as a third-party service provider and maintains its own privacy and data-protection arrangements.
- Coaching Information & Records
If you work with me as a coaching client, I may process additional personal information you voluntarily provide through intake forms, coaching sessions, emails, WhatsApp or other agreed support channels.
This information is used to provide and personalise your coaching, prepare for our sessions and maintain continuity throughout our work together.
Coaching Notes & Storage
Where I keep notes or records relating to our coaching work, these may be stored electronically on secure, password-protected business devices and/or within password-protected cloud storage, including Google Drive/Google Workspace.
These records may include coaching notes, intake information, agreed Love Actions, relevant communications and other information reasonably necessary to provide and manage your coaching.
Access to my coaching records is limited to me unless disclosure is required or permitted by law.
Some information you voluntarily disclose during coaching could constitute special category personal data, for example information relating to your physical or mental health.
Where I process special category personal data, I will handle it with additional care and only where there is an appropriate lawful basis and condition for processing it.
Information shared during coaching is treated confidentially, subject to circumstances where disclosure is required or permitted by law or where there is a serious risk of harm.
- Google Drive & Cloud Storage
I may use Google Drive/Google Workspace to securely store and manage business and coaching documents.
Depending on your relationship with me, this may include coaching agreements, intake forms, coaching notes, resources, correspondence or other records connected with the products or services I provide to you.
Google processes information stored through its services under its own privacy and data-protection arrangements.
I take reasonable steps to restrict access to client information and use appropriate account and device security.
- Comments
If comments are enabled on my website and you leave a comment, the website may collect the information shown in the comments form together with your IP address and browser information to assist with spam detection.
An anonymised string created from your email address may be provided to the Gravatar service to determine whether you use that service. If your comment is approved, your Gravatar profile image may be publicly visible alongside it.
- Cookies & Website Technology
My website may use cookies and similar technologies to operate correctly, remember preferences, understand website usage and support embedded or third-party functionality.
Some cookies are necessary for the website to function. Other cookies, such as analytics or marketing cookies, may require your consent.
Where required, you will be given the opportunity to manage your cookie preferences.
- Embedded Content & Third-Party Websites
My website may contain embedded content or links from other websites, such as videos, images, booking tools or social media content.
Embedded content may behave as though you visited the third-party website directly. Those providers may collect information, use cookies or monitor your interaction with their content according to their own privacy policies.
I encourage you to review the privacy information provided by third-party services you choose to use.
- Who I Share Information With
I do not sell your personal information.
I may share or make personal information available to trusted service providers where reasonably necessary to operate my business.
These may include providers involved in:
- website hosting and administration;
- online-store and digital-product delivery, including Payhip;
- payment processing;
- email marketing, including Mailchimp;
- appointment scheduling, including Calendly;
- cloud storage and document management, including Google Drive/Google Workspace;
- accounting and business administration;
- communications;
- analytics, website security and spam prevention; and
- professional advisers where reasonably necessary.
These providers may process personal information on my behalf or, depending on the service, act as independent data controllers for certain processing activities.
I may also disclose personal information where required or permitted by law or where reasonably necessary to establish, exercise or defend legal rights.
- International Data Transfers
Some of the technology providers I use may process or store personal information outside the United Kingdom.
Where personal information is transferred internationally, appropriate safeguards or lawful transfer mechanisms are expected to be used in accordance with applicable UK data protection law.
- How Long I Keep Your Information
I keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including meeting legal, accounting, tax and legitimate business requirements.
Retention periods may vary depending on the type of information concerned.
For example:
- purchase and financial records may be retained for the period required for tax, accounting and legal purposes;
- coaching notes, records and communications will be retained only for as long as reasonably necessary to provide the service, manage the client relationship and meet legitimate legal or business requirements;
- marketing information may be retained while you remain subscribed, together with limited information necessary to record and honour an unsubscribe request;
- appointment information may be retained for a reasonable period for administration and record-keeping; and
- website comments and associated information may be retained while the comment remains published or where otherwise reasonably necessary.
When personal information is no longer required, I will delete, anonymise or securely dispose of it where reasonably practicable.
- How I Protect Your Information
I take reasonable organisational and technical measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.
Depending on the information and how it is stored, these measures may include:
- password-protected business devices;
- password-protected online accounts and cloud storage;
- appropriate access controls;
- security features offered by the third-party platforms I use; and
- limiting access to coaching and client records.
I also use established third-party service providers to help operate my business and expect those providers to maintain appropriate privacy and security safeguards.
However, no online system, cloud service or method of electronic transmission can be guaranteed to be completely secure.
- Your Data Protection Rights
Depending on the circumstances and the lawful basis being relied upon, UK data protection law may give you rights including the right to:
- ask for access to personal information held about you;
- ask for inaccurate information to be corrected;
- ask for information to be deleted in certain circumstances;
- ask for processing to be restricted in certain circumstances;
- object to certain uses of your information;
- receive certain information in a portable format; and
- withdraw consent where processing is based on consent.
You also have the right to object to direct marketing at any time.
To exercise a data-protection right, please contact info@colindalatour.com.
- Complaints
If you have concerns about how I use your personal information, please contact me first at info@colindalatour.com and I will do my best to resolve the issue.
You also have the right to make a complaint to the Information Commissioner's Office (ICO), the UK's independent data-protection regulator.
- Children
My coaching services are intended for adults aged 18 and over.
My website and digital products are not intentionally designed to collect personal information from children.
If I become aware that personal information relating to a child has been collected inappropriately, I will take reasonable steps to address it.
- Changes to This Privacy Policy
I may update this Privacy Policy from time to time to reflect changes to my business, the services and technology I use or applicable legal requirements.
The latest version will be published on colindalatour.com with the date it was last updated.
Where a change materially affects how I use personal information already collected, I will take appropriate steps to bring that change to the attention of affected individuals where required.
